n8n for Beginners: Build Your First Automation Step by Step

n8n is a workflow automation tool that connects your apps and moves data between them, so repetitive tasks run on their own. In this guide you will build your first automation step by step: every time someone fills in a form, n8n saves the lead to a Google Sheet and sends you an email.

What is n8n?
n8n (pronounced "n-eight-n") lets you build automations by connecting blocks, called nodes, on a visual canvas. Each node does one job: receive data, change it, or send it to another app. A chain of nodes is called a workflow.
What makes n8n different from tools like Zapier:
It is open source, so you can host it yourself or use the official cloud version.
It handles complex logic well: conditions, loops, and custom code when you need it.
It has strong support for AI steps, so you can add a model like ChatGPT or Claude inside a workflow.
Key terms in 60 seconds
Workflow: the full automation, from start to finish.
Node: one step in the workflow, like "Google Sheets" or "Send Email".
Trigger: the first node, which starts the workflow (a form submission, a schedule, a new email).
Credentials: the saved login that lets n8n access an app on your behalf.
Execution: one run of the workflow. Cloud plans are priced by executions per month.
Step 1: Choose how to run n8n
You have two options:
n8n Cloud: create an account and start building in the browser. Nothing to install, and there is a free trial.
Self-hosted: install the free Community Edition on your own server. You pay only for the server, but you handle updates and backups.
For your first workflow, start with n8n Cloud. You can move to self-hosting later.
Step 2: Create a new workflow
Open n8n and click Create Workflow.
Name it "New lead to Google Sheets".
Click the + button to add your first node.
Step 3: Add a trigger
Search for the n8n Form Trigger node. It creates a simple web form with its own link, which is perfect for testing.
Add the fields Name and Email.
Copy the test URL and open it in a new tab.
Fill in the form with test data and submit it.
You will see the submitted data appear in the node's output panel.
Step 4: Save the lead to Google Sheets
Create a Google Sheet with two columns: Name and Email.
In n8n, click + after the trigger and add the Google Sheets node.
Choose the action Append Row.
Connect your Google account under Credentials.
Select your sheet, then map the form fields to the matching columns.
Run the node and check your sheet. The test lead should be there.
Step 5: Send yourself a notification
Add a Gmail node (or Send Email) after Google Sheets:
To: your email address
Subject: New lead: {{ $json.Name }}
Message: include the name and email from the form
The double curly braces are expressions: they insert data from earlier nodes into the message.
Step 6: Test, then activate
Click Test Workflow and submit the form one more time.
Check that the row was added and the email arrived.
Switch the workflow to Active.
Your automation now runs on its own, every time someone submits the form.
Common beginner mistakes
Forgetting to activate the workflow. Test mode runs only while you are watching.
Mapping the wrong fields. Check the output of each node before you connect the next one.
No error alert. Add an error workflow so you hear about failures right away.
